Summary of Duties:

The Embassy of Canada in Dominican Republic has a requirement for a Head of Mission Assistant who, under the general supervision of the Head of Mission (HOM):

  • provides administrative support to the HOM and acts as social secretary;
  • reviews HOM correspondence and determines what action is required;
  • liaises with the Ministry of Foreign Affairs to coordinate diplomatic administrative requirements for newly arrived diplomats;
  • prepares hospitality quarterly budget reports and
  • perform other duties as required.

Essential Qualifications:

Candidates must demonstrate clearly how they meet the education, language, and experience requirements listed below:

Education:

  • Degree from a recognized College or University or an acceptable combination of education, training and work experience related to the duties and specific areas of competence required by the position.

Language:   

  • Professional proficiency in the use of English and/or French and Spanish (mandatory), written and spoken.

Experience:

  • Minimum 2 years of experience in providing secretarial/administrative support to a senior/executive manager;
  • Minimum 2 years of experience working in a diplomatic mission, international organization and/or private sector corporation;
  • Experience in providing client service and dealing with the general public;
  • Experience in writing official correspondence;
  • Experience in planning and making travel arrangements;
  • Experience in coordinating logistics for events and meetings, including planning, protocol and implementation;
  • Experience in managing contact lists;
  • Experience in using Microsoft Office;

Asset Qualifications:

  • Experience of inventory control procedures;
  • Experience in translating written documents from English or French to Spanish;
  • Experience in tracking budget expenditures and invoices, as well as contracts.

Knowledge and abilities:

  • Knowledge of Dominican Republic politics, institutions and culture;
  • Knowledge and basic understanding of the role and mandate of Global Affairs Canada;
  • Ability to work as a team member;
  • Ability to create and maintain a network of contacts;
  • Ability to plan and manage multiple projects, working well under pressure and meet deadlines;

Conditions of Employment:

  • Willingness to work overtime, often on short notice;
